Our client is foreign company, operates within the grain trading industry, specialising in the sale of niche and oilseed crops. With a focus on products such as flax, peas, mung beans, chickpeas, meal, and more… To expand into the Vietnamese market, we aim to leverage our expertise in grain trading and focus on the unique agricultural needs of Vietnam.

Responsibilities:

  • CEO Support: Plan, organize, and coordinate the daily activities of the CEO.
  • Travel Assistance: Provide comprehensive travel support to the CEO.
  • Correspondence Management: Handle correspondence in Vietnamese, Russian, and English.
  • Meeting Organization: Organize meetings, negotiations, and other work-related activities.
  • Visitor Reception: Greet and assist visitors.
  • Office Maintenance: Ensure the smooth functioning of the office.
  • Roadmap Development: Participate in creating roadmaps and monitor their progress.
  • Business Partner Communication: Liaise with business partners of the CEO and the company.
  • Meeting Documentation: Log meetings, identify key goals, assign responsibilities, and oversee execution.
  • Internal Communication: Facilitate effective interaction between the CEO and company employees.
  • Business Process Optimization: Optimize and coordinate business processes within the company (Vietnam and Russia).
  • Branch Coordination: Maintain effective functionality and interaction between company branches.
  • Reporting: Prepare and provide reports on company operations to the CEO.
  • Information Management: Collect, analyze, and structure reports and other materials for the CEO.
  • Project Involvement: Participate in planning, initiating, and developing business projects.

Requirements:

  • Education: Bachelor Degree
  • Language Skills: Proficient in Vietnamese (Native), Russian (C1), and English (C1).
  • Software Proficiency: Advanced in MS Office.
  • At least 3 years of experience as a Business Assistant or Administrative Assistant
  • Strong time-management and planning skills
  • Proficiency in creating and processing paperwork
  • Organizational and technical skills for preparing and conducting meetings and negotiations, both domestic and international
  • Knowledge of the formation of external and internal information flows
  • Understanding of business negotiation rules, correspondence (including in English and Russian), and business etiquette
  • Expertise in methods and technologies for monitoring the execution of managerial instructions
  • Experience in project management
  • Ability to quickly respond to changes in the work process

Reporting Structure:

  • Direct Report to CEO (Russian)

Location: Ho Chi Minh City (HCM)

Working Hours: 5 days a week, 48 hours a week

Salary Package: 1000-1500 USD/month

Allowances: Mobile, Fuel , Food around 1.5 million VND/month

Financial assistance for death of a close relative, marriage, etc.

Bonuses:

  • 13th Month Salary
  • Monthly Performance Bonus
  • Annual Performance Bonus

Probation Period: 2 months, 100% Salary and allowances only (no performance bonus or financial assistance)

Annual Leave: 15 days

Overtime Payment:

  • 150% on workday
  • 200% on weekend
  • 300% on holiday
  • Additional 30% for hours between 10 pm to 6 am
