Head of Trading Department

Invest Talent JSC is assisting our client, a new FDI Trading Business in hiring The Head of Import Export and Trading Department, this role will be responsible for strategically overseeing and managing all import/export operations, ensuring efficient and profitable import and export activities across global markets, and the compliance with international trade regulations. The role involves strategic planning, coordination with internal and external stakeholders, and maintaining strong relationships with clients and suppliers.

Responsibilities:

1/ Establish and Execute Successful Transactions

      Operations and Logistics:

  • Oversee, develop and implement effective strategies, planning, coordination, and execution for import/export operations.
  • Proactively identify international clients and domestic suppliers to initiate purchase and sale transactions.
  • Negotiate contract terms, including pricing, payment conditions, and delivery timelines, ensuring optimal profitability with internal and external stakeholders such as buyers / sellers / freight forwarders, shipping lines, and other logistics providers.
  • Prepare and manage all necessary documentation for import/export procedures.
  • Manage and oversee the daily operations of the import/export department from contract signing to successful delivery.
  • Manage through execution team including coordination and tracking shipments, managing of supply chain activities, shipping, warehousing to ensure timely delivery of goods, product distribution, aligning trade activities with organizational goals and fostering partnerships that enhance profitability. Address issues like shipping delays, customs bottlenecks, or documentation errors.

     Expand Network and Trading Opportunities:

  • Identify opportunities for expanding trading partnerships and markets.
  • Develop strategies for improving operational efficiency and reducing costs.
  • Build and expand a network of international clients and domestic partners through networking, events, and online platforms.
  • Establish strategic long-term relationships with medium/small-scale but high-potential Vietnamese manufacturers.
  • Identify products that align with global market demands to boost trading opportunities.
  • Maintain effective communication with suppliers, buyers, and logistic partners.

2/ Optimize Transaction Profitability and Risk Management:

  • Analyze trade margins, profitability, economic feasibility of each transaction, ensuring maximum revenue and minimizing financial risks.
  • Monitor and optimize operational costs, such as inside-department budget, freight and customs duties, through negotiations.
  • Identify and mitigate risks associated with geopolitical factors, delays, or natural disasters.
  • Manage currency exchange risks
  • Develop contingency plans for potential trade disruptions
  • Resolve any issues related to shipment, delivery, and customs, arising during transactions promptly to maintain credibility and meet deadlines
  • Develop and execute plans to leverage the company’s initial capital for profitable deals.

3/ Track and Evaluate Transaction Performance:

  • Implement cost-saving strategies in international trade operations
  • Continuously analyze transaction results to improve sales strategies and operational efficiency.
  • Maintain accurate detail records of all import/export transactions.

4/ Teams Leadership and Oversee Execution:

  • Manage and guide the work of import-export/execution team.
  • Supervise, mentor, and motivate staff within the department to meet performance targets and expand market presence.
  • Supervise the execution team to ensure all transactions are fulfilled smoothly, from production to delivery.
  • Ensure collaboration between teams to align strategies, organizational goals, adheres to timelines and maintain a seamless workflow.
  • Set clear goals and provide training to enhance team effectiveness and productivity

Requirements:

  • Proven track record in negotiating and executing successful import/export transactions with international partners, delivering tangible profitability with minimum of 3 – 5+ years of relevant experience in import/export operations, international trade, or related fields
  • Comprehensive understanding of key sectors, including agriculture, aquaculture, textiles, manufacturing, and industrial goods.
  • Hands-on experience managing end-to-end export and import operations, including logistics and supply chain management, with understanding of customs regulations, trade documentation, and international trade laws.
